Quality & Compliance support assistant

Role Summary: Supporting the Quality & Compliance and operational teams to deliver quality and compliance across all programmes in order to meet the requirements of the DWP or other funding organisations. The Quality and Compliance Support Assistant must be aware of the operational and financial implications of non-conformance. The accurate and timely submission of reports to the Quality and Compliance Manager is essential. Responsible for undertaking specific quality and compliance checks as requested. Working across the organisation, and some remote working may be involved.

Key Responsibilities and Accountabilities:

-Support with the completion of quality and compliance checks across all programmes on a monthly basis as directed by the Quality and Compliance Manager.

-Assist the Q&C Team to maintain the Audit schedule supporting with systems checks.

-Assist with conducting dip sampling checks of managers’ self-audits on a monthly basis.

-Support with preparation for external audits, including DWP CMO audits and PAT Reviews; including completing system checks.

-Support with the management of Monthly Returns from all centres and contracts.

-Support with managing customer feedback mechanisms, such as Survey Monkey questionnaires for all programmes, and on an ad hoc basis as directed by Quality and Compliance Manager.

-Production of reports and in-depth analysis of customer feedback from various sources.

-Collation and analysis of customer feedback and complaint trends, duly feeding into the Service Improvement Process. Production of reports on complaints and customer feedback under guidance from the Quality and Compliance Manager.

-To comprehend the contractual quality and compliance requirements of DWP Contracts and other funding agencies.

-Prepare detailed reports on completed compliance checks and provide immediate escalation of any non-conformance issues to the Quality & Compliance Manager.

-Support operational staff with guidance on compliance issues.

-Ensure that administration is compliant and meets the internal quality and ISO quality standards, raising non-conformance where required and following the ISO process.

-Support the Q&C Team with additional administrative support as required.

-To provide robust support for Kennedy Scott in the prevention and detection of any fraudulent claims and behaviour.

Person Specification

Essential

-Previous work experience of audit and compliance work

-Experience of quality management systems and processes

-Ability to prepare clear, concise reports and deliver to set timescales

-Excellent verbal, written and presentation skills

-Confident in; Microsoft Office, Word, Excel, Outlook and Powerpoint presentations

-Excellent time management and organisational skills, adapting to changing priorities and deadlines

-Accuracy and attention to detail

-Flexibility and prepared to travel when required.

-A working knowledge of Data Security and Safeguarding policies and procedures

-Knowledge of requirements for the range of KS contracts, including a good understanding of JCP Provider Guidance

Desirable

-Recognised accredited audit qualification

-Knowledge of DWP funded programmes

-Experience of using KSIS and Prime organisation systems
